The Administrative Assistant provides essential clerical and administrative support to individuals and departmental teams. This role performs routine administrative tasks, supports daily office operations, and assists with scheduling and coordination activities under direct supervision. Strong organization and attention to detail are key to success in this role. The Administrative Assistant works under the direct supervision of the Business Services Manager and performs assigned tasks using established procedures.
This is a contract to direct hiring process.
Schedule:
This is a part time position with a reduced weekly schedule. The Administrative Assistant is expected to manage core responsibilities within a flexible, mutually agreed upon set of hours, ensuring consistent coverage and dependable support for daily operations. 20-30 hours per week.
Key Responsibilities:
- Coordinate vendor interactions and manage vendor purchase orders.
- Maintain office supply inventory and restock materials as needed.
- Assist with facilitating interviews, preparing materials, and ensuring rooms are ready.
- Order business cards and engineering books.
- Set up luncheons, conference rooms, and related internal events.
- Support routine office organization and administrative projects.
- Assist with scheduling meetings and travel arrangements.
- Greet visitors, manage sign-ins, and maintain visitor logs.
- Manage and coordinate all incoming and outgoing mail and parcels.
Required Qualifications:
- Experience: 0-2 years of administrative experience.
- Skills: Proficiency with Microsoft Office Suite.
- Communication: Effective oral and written communication skills.
